CASA is a trusted non-profit organization delivering holistic, culturally safe wrap-around mental health services to children ages three to 18 and their families in Alberta. We do this through a team of specialized mental health professionals who are trauma experts committed to delivering outcomes-based programming in collaboration with community partners. CASA is currently looking for a seasoned executive assistant to join our corporate team. In this role, the executive assistant will use their expertise and experience supporting executives in the health care field, to provide critical administrative support to the director, clinical; the director, medical; and the director, diversity and belonging. They will be an integral part of the corporate care team, working together to deliver seamless and high-level service to the senior leadership team.

Job Description

Reporting to the director, clinical, the executive assistant, clinical plays a key role in providing comprehensive administrative support to the clinical leadership team. The executive assistant, clinical is responsible for delivering a high level of service across a variety of clinical portfolios overseen by the director, clinical; director, medical; and director, diversity and belonging. The executive assistant:

  • Prepares and distributes agenda packages and meeting minutes, and provides action item management for the Patient Safety & Quality Care Committee, Strategic Clinical Council, Clinical Operations Council, and Inter-Professional Community of Practice.

  • Prepares reports and correspondence as requested.

  • Supports schedule management, booking appointments and arranging meetings including procuring meeting rooms, audio visual equipment and meals/refreshments as required.

  • Maintains a confidential filing system.

  • Contributes to the planning of internal and external events.

  • Manages, prioritizes and redirects information requests, as needed.

Maximum Salary: $80,000

  • Successful completion of an office administration program or prior experience in a clinical office setting.

  • Minimum typing speed of 70wpm with 95 per cent accuracy.

  • Proficiency in Microsoft Word, Microsoft Excel, Outlook, and Visio.

  • High level of data entry accuracy.

  • Excellent verbal and written communication skills.

  • Strong attention to detail and ability to prioritize in a high volume work environment.

  • Ability to work independently and collaboratively, with minimal supervision and perform tasks accurately with attention to detail.

  • Ability to work with sensitive and confidential materials and maintain a high level of confidentiality.
